Indiploy

Everything you need to run an offer inside your limits

Indiploy covers the offer stage from the limits you set for a role to the response the candidate receives.

Features

  • Role limits: Salary range, retirement contribution, leave, benefits and allowances set per role, so no package can go outside what you allow.
  • Package builder for candidates: People build their own package from a secure invitation link. One person can be invited for more than one role.
  • True cost with fringe benefits tax: Each benefit carries its tax treatment. Employers see face value and true cost. For Australia that adds fringe benefits tax using the ATO Type 2 gross-up. Figures are planning estimates, not tax advice.
  • Take-home estimate and salary packaging: An estimate of take-home pay after income tax and the country's deductions, such as the Medicare levy in Australia, National Insurance in the UK, ACC and KiwiSaver in New Zealand and CPF in Singapore. It shows how pay changes with salary packaging where the role allows it: extra super, purchased leave or a novated lease in Australia, and extra pension, extra holiday or a cycle to work scheme in the UK.
  • Roles in Australia, New Zealand, the United Kingdom and Singapore: Each role has a country. Amounts are shown in that country's currency, labels follow the country, and true cost adds the main employer charges there: KiwiSaver and fringe benefit tax in New Zealand, employer National Insurance in the United Kingdom, employer CPF and the Skills Development Levy in Singapore, each worked out for the person. Rates that are already announced start on their own date. One company can run roles in several countries.
  • Budget fit score: Each submitted package is scored from 0 to 100 against the role's target budget, measured on true cost.
  • Review, counter offers and history: Accept, counter or decline each package, with the full back and forth kept against the record.
  • Approvals: A company admin decides who must approve a response, always or only when a package is over budget. Every plan has one approval step. Enterprise can chain several steps by role.
  • Analytics and reports: For any period: how many people were invited, how many built a package, how many offers were agreed and how fast, what people chose, and how agreed packages compare with the role's budget. It uses your own records and can be downloaded as CSV. Included in Enterprise, an add-on for Growing Business, and open to every company during its free trial.
  • Import and export: Import a shortlist from CSV with your own candidate references, export every package for a role to CSV, and download a one-page PDF summary of any package.
  • Access and security controls: Role-based access, an audit log, cover for people on leave, a company password policy, and single sign-on with OpenID Connect on larger plans.
  • AI helpers: Answers for candidates about their own package, a short summary of each submitted package for HR, drafts of invite notes, counter-offer messages and close-off emails, and a help assistant. Every figure comes from Indiploy, every answer is checked before it is shown, and every decision is made by a person. Included in Enterprise and an add-on for the other plans.

How the pieces fit together

  • 1. Set the limits: For each role, choose the country, then set the salary range, retirement contribution, leave, benefits and allowances a person may choose from, and a target budget.
  • 2. Invite people: Invite candidates one at a time or from a CSV file. Each person gets a secure link.
  • 3. They build a package: The person chooses salary, retirement contribution, leave and benefits inside your limits, and sees an estimate of their take-home pay as they go.
  • 4. Review at true cost: See every package at face value and at true cost, which adds the employer taxes and charges for the country, with a budget fit score against the role's target.
  • 5. Respond and record: Accept, counter or decline. An approver can be required first. Every step is recorded.

Questions and answers

When do you capture candidate preferences?

As soon as a candidate is invited. They build their preferred package before the formal offer, so the hiring team knows what matters to them from the start.

Can candidates trade leave for pay?

Yes, inside the limits you set for the role. A person can adjust salary, super, leave and benefits to show what works best for them, and cannot go outside your limits.

What are role limits?

Role limits are the ranges you set for a role: salary, superannuation, leave, benefits, allowances and a target budget. Every package is checked against them, and you can see at a glance whether a package is inside or over budget.

How does the budget fit score work?

Every submitted package gets a budget fit score from 0 to 100 against the role's target budget. It is measured on true cost, which is the face value of the package plus estimated fringe benefits tax. Any package over the target scores less than 100, falling to 0 at the limit you set for the role (20% over unless you change it). Being under the target counts for half as much as being over it, so a package under the target scores 100 until it is twice the role's on-target percentage below the target (10% under for a 5% on-target percentage).

Can I customise approval workflows?

Yes. A company admin decides who must approve an acceptance or counter offer before the person sees it, either always or only when the true cost is over budget by a set percentage. Every plan includes one approval step. Enterprise plans can chain several steps in order, each approved by a role.

Does Indiploy show the cost of fringe benefits tax?

Yes. Each benefit carries its tax treatment, and the employer sees every package at face value or at true cost. For Australian roles true cost adds an estimate of FBT using the ATO Type 2 gross-up. For New Zealand it adds fringe benefit tax, and for the United Kingdom Class 1A National Insurance. The figures are planning estimates, not tax advice.

Can candidates see what they would take home?

Yes, for roles in Australia, New Zealand, the United Kingdom and Singapore. The package builder shows an estimate of take-home pay after income tax and the country's deductions, and how it changes if the role offers salary packaging: extra super, purchased leave or a novated lease in Australia, and extra pension, extra holiday or a cycle to work scheme in the UK. It is an estimate, not tax advice.

How do I know Indiploy is working for us?

Analytics shows, for any period and any role, how many people you invited, how many built a package, how many offers were agreed and signed and how quickly, where people stopped, what they chose, and how agreed packages compare with each role's budget. It is drawn from your own records, and you can download a spreadsheet with one row per invitation, or the role by role figures. Analytics is included in Enterprise, is an add-on for Growing Business, and is open to every company during its free trial.

Does Indiploy use AI?

On the Enterprise plan, yes, and other plans can add it for a price. A company admin can switch it off. There is a help assistant on every page, candidates can ask questions about their own package, HR can get a short summary of a submitted package, and HR can have a message drafted to edit before sending. The AI never works out a figure: every amount comes from Indiploy's own calculations. Every answer is checked before it is shown: Amazon Bedrock guardrails stop personal financial advice and hide personal details, and Indiploy checks every amount against the figures it sent. It cannot change a package or send anything, and every decision is made by a person. It runs on Amazon Nova 2 Lite through Amazon Bedrock, and a request may be processed in any AWS Region that offers the model. Indiploy records that a request was made, but not the question or the answer.

Is our data used to train AI models?

No. Indiploy does not use your data to train any AI model, and AWS states that inputs to and outputs from Amazon Bedrock are not used to train its models or any third-party model, and are not shared with model providers. Each AI request carries only your own company's figures that it needs, with email addresses, phone numbers, tax file numbers and card numbers masked. Indiploy records that a request was made, not the question or the answer. A company admin can switch the AI helpers off at any time, and while they are off nothing is sent. This is in clause 6.11 of the SaaS Services Agreement.

Can we use Indiploy for roles outside Australia?

Yes, for New Zealand, the United Kingdom and Singapore. You choose the country when you create a role. Amounts are shown in that country's currency, labels follow the country, and true cost adds the main employer charges there. One company can run roles in several countries. Take-home estimates are shown in every country, salary packaging is offered for Australian and UK roles. A package is never converted between currencies. Analytics can add up agreed packages across countries at budget exchange rates your company sets.
